Configuring Email Alerts: Admin Level and My Settings

Secureframe’s Email Notification Settings or Email Alerts control how and how often personnel receive reminders for tasks like policy acknowledgments, security training, test activity, background checks, and more.

There are two levels of configuration:

1. Company-wide settings (Admin level)

  • Found under PersonnelSettings (gear icon) Email Notification tab.
  • Admins can manage the Frequency Override—options include None, Daily, Weekly, or Biweekly—to control reminders for all users with outstanding personnel tasks.
  • Changing the frequency here will override any prior settings previously saved per user.

2. Individual settings (“My Settings” → Notifications)

  • Users can visit their avatar → My Settings → Notifications tab to override the company default for Personnel Tasks specifically.
  • The available frequency options are the same (None, Daily, Weekly, Biweekly), but they apply only to that individual's tasks.

If these are set properly, a user who has any outstanding tasks (accepting policies, completing security training, filling out the background check form, etc.) will be notified to complete these by email based on the frequency configured in these settings. The notifications will stop once those tasks are completed. 

How reminders work in practice

  • Any user with outstanding personnel tasks (e.g. unfinished training or unaccepted policies) will receive reminders based on the most recent setting—either the company default if unchanged or a personal override if chosen.

  • Reminders stop automatically once all tasks are completed

Task Reminder Email Requirements

Important: For personnel to receive task reminder emails, they must have a Start Date set in their personnel record, and that start date must be in the past (i.e., they have already started).

Why this matters:

  • Personnel without a start date will not receive task reminder emails
  • Personnel with a future start date will not receive task reminder emails until that date has passed
  • This behavior is intentional to avoid sending onboarding task reminders to employees who haven't officially started yet

Workaround:

If you need to remind personnel who don't have start dates configured (or have future start dates), you can manually reach out to them:

  1. Navigate to the Personnel page
  2. Locate the personnel who need reminders
  3. Use the Remind option from the actions menu to send a manual reminder, or contact them directly outside of Secureframe

Best Practice: Ensure all personnel have accurate start dates set in their records to enable automatic task reminder emails. Start dates can be configured manually on the Personnel details page or synced automatically through an HR integration (e.g., BambooHR, Gusto, Rippling).

Email notification settings for the entire company

Email notification settings is how you send reminder emails to personnel with pending tasks, such as accepting policies, prompting them to complete their tasks on the platform.

Note that updating the frequency will override previous notification settings for all users.

  • Using the Left Navigate, click on Personnel 
  • Click on the Settings (gear icon)
  • Go to the "Email Notification" tab
  • Set the "Frequency Override" to daily, weekly, or biweekly

Email notification settings for individuals ("My Settings")

In addition to the global settings above, each employee can also adjust their own notifications by clicking your profile avatar > my settings > notification tab. There is a dropdown option next to Personnel Tasks to adjust the frequency. 

Once on this screen, the user can adjust frequency for a number of different notification types. 

Test Owner Digest Emails

Secureframe automatically sends digest emails to users who are assigned as the owner of a test.

These emails contain summaries of:

  • Failing tests

  • New test activity

  • Updates to existing tests

  • Related dashboard tasks and personnel onboarding status

To receive these email notifications:

  1. Click your avatar in the top right corner and select My Settings

  2. Go to the Notifications tab

  3. Ensure the following are enabled:

    • Digest: Owned by me – set to Daily or preferred frequency

    • Test Activity – set to Daily or preferred frequency

🔔 You must be the assigned test owner in order to receive these updates.

✉️ Example

If you're the test owner and notifications are enabled, you’ll receive an email digest showing your owned tests and statuses—such as a list of failing tests, open dashboard tasks, or personnel who haven't completed onboarding.

Notification Types & Frequency Options

Each notification can be set to one of the following frequencies: None, Daily, Weekly, or Biweekly.

Here are the available notification types:

  • Digest: Admin Summary - Roll-up of important items (totals, status changes, etc.)

  • Digest: Owned by me - Roll-up of all items owned by you (e.g., tests, tasks)

  • Test status changes - Get notified when a test's status changes within your chosen timeframe. 

    • Passing → At Risk

    • Passing → Failing

    • At Risk → Failing

  • Personnel Tasks - Summary of outstanding tasks such as training and policy acceptance

  • Knowledge Base Questions: Scheduled Reviews - Notifications about questions that need scheduled review

  • Test Activity - Summary of new or updated tests

  • Integrations (Toggle only: On/Off) - Alerts when integrations are disconnected

  • Audits (Toggle only: On/Off) - Get notified when your auditor marks a test as Action required, creates new tests, or adds comments

  • Questionnaires (Toggle only: On/Off) - Alerts when you're assigned a questionnaire to review

Frequently Asked Questions (FAQ)

What settings are required for a test owner to receive email notifications?

To receive email notifications about the tests you own:

  • You must be the assigned owner of one or more tests

  • In your Settings > Notifications tab, enable the following:

    • Digest: Owned by me — set frequency to Daily, Weekly, or your preferred cadence

    • Test Activity — to get notified of new or updated tests

Once these are configured, Secureframe will email you a digest summarizing failing tests, dashboard tasks, and any personnel issues related to your owned items.

Can I send email notifications to a specific group in need of reviewing their policies?

  • No, not at this time. Notification reminders would go to all Personnel who have pending tasks. 
  • We are however working on a custom notification system to accomplish this task and will update this article once launched. 

Who gets dashboard email notifications like Integration errors?

  • Notifications related to the dashboard might include Integration errors, Risk indicators, Assets, etc...and these would go to all Admins.
  • This could include Admins, Super Admin or any custom roles you have created that might have limited access but would still be considered an Admin. 

Can an Admin view each of the user's notification frequency? 

  • Yes, on the Personnel page table there is a column for each user's frequency setting under Task Notifications.

Can a user update their own notification setting?

  • Yes, by clicking your profile avatar > my settings > notification tab. There is a dropdown option next to Personnel Tasks to adjust the frequency. 

When are task notification emails sent?

  • The delivery of task notification emails depends on the frequency you select. If set to weekly, bi-weekly, or similar schedules, the notifications are typically sent on Mondays.

Why isn't my personnel receiving task reminder emails?

  • The most common reason is that the personnel does not have a Start Date set, or their start date is in the future. Task reminder emails are only sent to personnel whose start date has passed. See the Task Reminder Email Requirements section above for more details and workarounds.
