Integrate your Background Check vendor
Before you can Initiate background checks with specific personnel, you must first integrate with one of our background providers. (Checkr or Vetty)
Note: If you do not currently have a relationship with Checkr or Vetty, you will need to create that as part of this process. As a customer, you will be responsible for the payment to these vendors based on the package your organization has choosen.
- Head to Integrations in the left hand navigation
- Click on the Background Check category
- We offer integrations from both Vetty and Checkr (Note: Both of these integrations require you to sign-up with the respective vendor.)
- Click View Details to see the Permissions and Tests associated with this integration
- Click Connect to start the integration process
- Once you click Connect on either Vetty or Checkr, follow the step by step guide to fully connect.
Once your Background Check provider is fully connected, you can now select this new vendor during the Personnel Onboarding settings.
Once connected, this screen below will allow you to select groups, exceptions, vendor and specific background package.
Important Note: Background checks cannot be initiated unless you choose both a Background Vendor and Background check package as shown below.
Initiate background checks
After connecting to either of our background check partners Vetty or Checkr, organizations have the ability to initiate background checks via the Secureframe platform.
The process to initiate and monitor background checks is as follows:
- A Secureframe Admin or Super can initiate a background check under the Employees page by clicking on the three vertical dots icon next to each employee name and clicking the Initiate Background Check option.
- Note: if the Initiate Background Check is greyed out next to the user in Secureframe, this means the personnel in question has not filled in the Background information or consented to the background check. After this information is completed by the user, the Admin can initiate the background check.
- If needed, use our filters on the Personnel table to view the status of your background checks, such as Completed, In Progress, Not Initiated, or Not Started.
- After a background check has been started by an employee the status will update to "In progress" for them
- After a background check has been completed, the report will automatically be uploaded to the Data Room and the status will update to "Completed."
Frequently Asked Questions (FAQ)
I'm trying to run a background check for one my teams. It's showing on his send that the background check is "in progress", however on my end it shows "not initiated." What should I do here?
- Head to the Personnel section, search for the user in question.
- Click the 3-dot menu on the right side, next to the person in question, within the Personnel table.
- There you will see the option to initiate the check.
We have an employee who has completed his background check but it isn't showing up as completed in the personnel tab. I have confirmed that the background check is completed in vetty?
- One common scenario here is that you may have 2 personnel accounts for the same user and the background check is associated to 1 of them. Assuming this is the issue, you would need to Merge the 2 users together.
- Note: After the merge takes place, it may take a few minutes for the system to recognize the merge and update any outstanding task.
When I hover over a personnel the Initiate Background Check is greyed out. How do I initiate?
- If the Initiate Background Check is greyed out next to the user in Secureframe, this means the personnel in question has not filled in the Background information or consented to the background check. After this information is completed by the user, the Admin can initiate the background check.
If a company has already initiated or completed a background check for an employee, do they need to run another background check?
- No, if you have already run a background check you do not need to run another. However, you will need to make sure your employee background check is present in Secureframe.
- You can have the Employee upload a copy of the recent background check during their Onboarding, or an Admin can upload the background check reports to the Data Room. Please refer here to learn more information about the Data Room.
Does SOC 2 require all employees to undergo a standard background check at time of hire?
- Yes, SOC 2 does require this of all US Employees. Learn more about the full background check scope here to understand your obligations for In-scope or Out-of-scope personnel.
Who is responsible for payment with Checkr or Vetty?
- As a customer, you will be responsible for the payment to Checkr or Vetty.
- This step will need to be completed before you invite users to Onboarding, because you must select a payment package to initiate the right level of background check from both Vetty or Checkr.
I'm an end user and my background tasks is in progress for almost 2 weeks. How can I get this completed?
- Please note that a Secureframe Admin needs to manually initiate the background check from the Personnel page.
- We recommend contacting your company's Secureframe Admin, as they are responsible for initiating background checks for employees.
I chose a vendor, why wont my background checks initiate?
- The most common reason why Background checks cannot be initiated is that customers forget to choose both a Background Vendor and Background check package as shown below.
We did a Vetty background check for one of our team members in 2021 but notice it's missing a “SSN check”. How do we resubmit the Vetty check and how do we ensure the SSN is carried over to Secureframe?
- Secureframe only pulls information based submitted in the Package (examples package details below, pricing controlled by those vendors and subject to change.) you have selected from Vetty or Checkr.
- If information like SSN check is missing, you would need to contact the Background provider to ensure that is updated on their end allowing Secureframe to pull all the relevant data.
