Whether you have 10 or 10,000 employees, most compliance frameworks require a few specific tasks from all employees to complete as part of their compliance obligations.
These types of tasks can include policy acknowledgements, background checks, Security Awareness training and installing an MDM for endpoint management and possibly more.
To make this process easier for Secureframe admins, we call this Employee Onboarding and this workflow provides an easy way to invite and track completion of these specific tasks.
We recommend you start with Employee Onboarding early on in your Secureframe journey. This will allow Admins and Employees to work on their tasks in tandem.
Employee Onboarding Tasks
- Accept Security Policies - Read, accept and acknowledge your company's policies.
- Background Check - Complete a standard background check if you are based in the United States. If you are based outside of the U.S., you'll need to upload your resume and any applicable references.

Training - Go through virtual training to learn best practices and stay compliant for your company's security framework. Below you will find a list of all the available training modules that Secureframe offers.
- Security Training - Learn best practices around cybersecurity awareness and be quizzed to test your knowledge.
- HIPAA Training - Learn best practices for securing PHI and maintaining HIPAA compliance.
- PCI Training - Learn best practices for employees with access to credit card data.
- GDPR Training - Learn best practices for companies who collect the personal data of European Union (EU) residents and ensure they uphold various privacy and security requirements.
- CCPA Training - Learn best practices for how California residents have enhanced rights and transparency around the collection, use, and sharing of personal data.
- Secure Code Training - Learn best practices for how to write code that is resistant to security vulnerabilities.
- Secureframe Agent - Install the Secureframe Agent to your device to track specific compliance requirements like Password Policy, Hard Drive encryption and more. (Note: Users may need to click the message "If you have downloaded the agent or your operating system is not listed, click here to pass the onboarding installation step" to complete the Secureframe Agent setup.)
Employee Onboarding Settings
Before you can start inviting employees to perform onboarding tasks, Admins will need to review and adjust Onboard settings.
Under Personnel, click the gear icon in the top right corner, then click on the Onboarding tab.
From here, review and enable the specific onboarding sections (Policies, Background Check, Training, Secureframe Agent) that are relevant to your organization.
Pay close attention to each of these sections since they will have additional selections depending on your framework and needs.
You may need to also choose specific groupings of personnel like Employee and Contractor, or create a custom group for HR related employees. The selection you make on this screen will determine the type of tasks your personnel receive once invited.

Inviting Personnel to Employee Onboarding
Once you are confident with your setting you can now start inviting users. (Note: Admins typically will invite other admins or core members of their IT and Compliance team first to test the experience, then invite the remainder of your employees after)
Please follow the steps below to edit and save the template:
- Go to the Personnel page
- Click on the Settings button (gear icon)
- Navigate to the "Invite Personnel" tab
- Select an employee and click on "Edit Email Template and Invite"
- Edit the email template as needed to personalize the message or elaborate on the importance of these Compliance tasks.
- Click Send Email once ready to send an invitation to the selected personnel. (Note: Once the template is saved, it will be available for future invitations, making the process more efficient.)
After an employee or contractor is invited to Employee Onboarding, you'll see the green checkmark icon in the invited column under Personnel in Monitoring.
Manually Invite Personnel or Automatically invite Personnel
Once your email template is ready to go, you will then decide to manually invite all users by selecting the checkbox, or use the Automatic Group Invite feature.
If you choose a manual approach, simply click on the checkbox next to each employees name and the screen will prompt you to "edit email template and invite."
This will give you an opportunity to customize, preview, save template and eventually send the invitation.
Frequently Asked Questions (FAQ)
How can I edit or customize the onboarding email that employees/personnel receive for Policy Acknowledgement and other tasks?
- You can edit the email template by going to the Personnel page and opening the Settings (gear in the top right), then click the Invite Personnel tab.
- From here, to access the onboarding email template, you will need to select one or more users from the list, then you will see an option to edit the email template at the bottom.
How can I mark an employee as being completed in the background check and Security Awareness Training as they were done through other programs?
- If users have completed their background check and/or security training outside of Secureframe, evidence can be uploaded to the Data Room and tagged as the appropriate evidence and also linked to the respective user.
My employees have downloaded the agent, but claim onboarding hasn't updated?
- Once you have downloaded and installed the Agent, you will need to click on the "If you have downloaded the agent or your operating system is not listed, click here to pass the onboarding installation step" link in the Employee Onboarding section. (ex, screenshot below)
Can I adjust or edit the email invitation that goes out to my users for onboarding?
- Yes, you can alter the invite email however you like.
- (Note: Once the template is saved, it will be available for future invitations, making the process more efficient.)
