How to Upload and Match Background Checks

Secureframe supports both manual uploads and automatic background check retrievals via our integration with Checkr. This guide covers how to upload a background check manually and how email matching helps pull in completed checks automatically.

Uploading a Background Check Manually

If you already have background check reports from a third-party vendor and NOT using one of our Integrations, you will need to upload all reports for U.S. employees as evidence in the Data Room and assign them to the relevant employees. This will allow auditors to access the reports directly from the platform.

To Upload:

  • Head to the Data Room, click Upload Files, then uplad the file in question
  • Make sure Evidence Type, Background Check Report is selected, then select the employee associated with the background check, then click Upload.
  • Note: This will automatically link the check with the user in the platform and mark the associated test as passing.

Choosing the Right Email Address

Background check data is matched to users based on email address and name.

  • Use the same email that was used to complete the background check with Checkr.

  • If the check was completed before your company issued a work email, use the personal email originally used for that background check.

  • Note: The personal email record can always be later merged in Secureframe with the new employee email address.

📌 Tip: Matching emails improves backfilling of completed reports.

Frequently Asked Questions (FAQ)

Do you have Background Vendor you recommend?

  • Yes, we have one vendor, Checkr, that can be integrated into Secureframe, offering multiple packages available for the specific background levels you need. 
  • Note regarding Vetty: Vetty is no longer available as a background check option for new Secureframe customers. If you are an existing customer with an active Vetty connection, it will continue to work. We recommend new customers use Checkr for background check integrations.

I tried to export Background Checks but I get the following error and nothing shows up in the export?

  • Certain exports like Background checks and Performance Reviews are sensitive and can only be exported by Super Admins. 

I am using one of your Background Providers (Checkr) and for some reason Secureframe isn't picking up the Background check with the right user?

  • In some cases, you may have accidentally brought in 2 of the same users into Secureframe and the background check isn't sure which to associate with. 
  • If you do have 2 of the same users, we recommend Merging those into one first and after that is complete you can manually associate the background check to that new user.

Why can't auditors get access to my background checks from Secureframe?

  • Auditor are not Super Admins, so by default they do not have level of access for Background Checks, which contain sensitive data. Also important to note that Auditors don't need to see the background checks. They only need to know that it has been completed and when.
  • If your auditor is requesting these documents, your Super Admin can always export and provide manually after careful consideration. 

How are background checks pulled into the Secureframe platform if the Checkr integration is connected?

  • Secureframe retrieves background check data by matching users using the following process:
    • Email Match â€“ Secureframe first attempts to match users by email address.
    • Name Match â€“ Secureframe checks the first and last name.

Note â€“ Secureframe compares the email and name data pulled from different integrations and matches them with the Checkr integration to retrieve the background check information. Even if an employee has not been invited to the platform, Secureframe can still pull their background check if they have been added to the Personnel page through another integration (e.g., Google Workspace). Their background check information will be retrieved using the email and first/last name match.

What is the email address used for?

  • A copy of your background check will be sent to the email provided. Depending on where you'd like to receive the copy of your background check, you can choose a personal email or work email.

Does it matter whether the background check was initiated from Secureframe or directly through Checkr?

  • Yes. Background checks must be initiated through Secureframe in order for the integration to pull results in correctly. If a candidate initiates their background check directly through Checkr (for example, via a link sent outside of Secureframe), the completed check will not be automatically associated with the correct user in the platform -- even if the email address and name match.
  • If a check was already completed outside of Secureframe, you can still associate it manually by uploading the report as evidence in the Data Room and assigning it to the relevant employee. See the Uploading a Background Check Manually section above for steps.
  • To ensure checks are pulled in automatically, always initiate background checks through Secureframe. See Integrate and Initiate background checks (Checkr) for the recommended workflow.

What if I already completed a background check previously?

  • If you have completed a background check, with Checkr previously, then you should enter the same email address used during your background check. This might be a different email than your company email if the background check was run before you were issued a company email address.  Entering your same email address will help backfill the completed background check report.
